Bot-Free AI Meeting Notes for Microsoft Teams

By , founder of Nod · Updated September 29, 2026

You can take Microsoft Teams notes without adding a bot by using Nod on Mac. It captures microphone and system audio, sends short segments for hosted transcription, and saves a transcript and summary without keeping an audio recording for playback. It works with Teams in the desktop app or a browser.

Before capturing work calls, confirm that your organization permits the app and its data processing. A separate Mac app still falls under device, network, and workplace rules.

Choose between Teams transcription and Nod

Teams has its own live transcription. Availability and the ability to start, view, or download it depend on meeting settings, roles, and your organization's policies; see Microsoft's transcript guide.

Use Teams transcription when your organization wants the meeting record managed in Microsoft 365. Consider Nod on Mac when you have approval to keep separate notes across Teams, Meet, and Zoom. Nod does not join the roster or use Teams' transcription API, and it does not replace any required compliance recording.

A browser extension may be another option for Teams in a supported browser. Check its supported capture mode: a tab extension alone cannot capture the separate Teams desktop app.

Teams, with nothing extra in the call

Capture runs on your machine, which is why nothing shows up in the meeting for IT to approve.

How to set up bot-free notes for Microsoft Teams

  1. Install Nod from the Mac download page. The trial includes 14 days and 5 meeting hours, with no credit card.
  2. Grant microphone and system-audio permissions when macOS asks. Ambient screen context is a separate optional feature; you do not need to enable it for meeting audio capture.
  3. Inform participants and follow your organization's capture and consent requirements. Nod's consent reminder appears once; your responsibility continues on each call.
  4. Join Teams in the desktop app or a browser. Nod captures sound from your Mac, so no notetaker is added to the participant list.
  5. Start capture in Nod and check the live transcript. Make sure both sides of the conversation appear before relying on the notes.
  6. Stop capture and review the result. Use the transcript to check the summary, especially names, decisions, and deadlines.

For an overview of the capture path, see meeting transcription. The same approach works for Google Meet without recording.

Example: notes from a project check-in

This is an illustrative recap, not customer data or a promise of exact formatting:

Topic: Onboarding pilot.

Decision: Start with the support team.

Next step: Maya will share the checklist before Thursday's review.

Open question: Which feedback channel should the pilot use?

The transcript preserves what was said so you can verify the recap. People and deadlines in action-item text are not structured assignments. Ask Nod can answer follow-up questions across captured calls; it cannot recover a meeting that was never captured.

Troubleshooting desktop and browser calls

  • Only your voice appears: check macOS system-audio permission and that Teams audio is playing through your Mac.
  • Only the other side appears: check microphone access and the selected input.
  • Capture is restricted on a managed Mac: ask IT about approved apps, permissions, and network access. Do not assume that being outside the participant roster makes an app exempt.
  • Audio setup changed: test briefly after switching headsets or inputs. Hosted transcription requires an internet connection.

What is stored, and what do participants see?

Nod captures locally but transcribes through hosted providers. It releases audio segments after transcription and stores transcripts and summaries in the EU. Consult the security policy for provider locations, no-training terms, and fallback retention.

Nod does not trigger Teams' recording or transcription notifications. Teams may still display notices for its own features or compliance recording. Tell participants you are taking AI notes and follow the consent guidance; no bot in the roster does not mean no obligations.

Try a Teams call on your Mac

Download Nod and test a short, permitted call during the 14-day trial with 5 meeting hours. Nod has no permanent free plan; see pricing for monthly and annual options, or compare AI note takers for Mac.

Frequently asked questions

Can I use an AI notetaker in Microsoft Teams without a bot joining?
Yes. Nod is a Mac app that captures your computer's system audio instead of joining the Teams meeting, so no bot appears in the roster. It transcribes and summarizes the call, saving only an encrypted transcript and summary — never a recording — and works in both the Teams desktop app and browser.
Will Teams admin policy or compliance recording block a personal notetaker?
Nod does not join Teams or use its meeting transcription API, but device management, network restrictions, and organizational policy can still restrict its use. Check with IT before capturing work meetings; Nod does not replace compliance recording.
Is the Teams call audio saved anywhere with a bot-free notetaker?
Nod creates no audio recording for playback. Short audio segments go to hosted transcription and are discarded when text returns; transcripts and summaries are stored in the EU. Provider processing and fallback retention are documented in the security policy.
Does Microsoft Teams show a banner when I take notes with Nod?
Nod does not trigger Teams recording or transcription notifications because it captures audio separately. Teams can still show notices for its own recording or transcription. Inform participants and follow the rules that apply to your meeting.

Useful on day one. Hard to work without by month three.

Start free on macOS, no card. Every conversation you capture today is one you can still ask about a year from now.
